About transcript services

If you are a current UBC student or alumnus, you can request an official transcript, which includes your complete academic record at UBC.

Transcripts are confidential and can only be released by request from a student or alumnus.

You can place an order for one of the following:

  • PDF transcript delivered by email
  • Paper copy delivered by mail
  • Paper copy delivered by courier
  • Paper copy picked up in person

Documents you may need

  • Confirmation of Enrolment: Download your Confirmation of Enrolment Letteralso known as a Proof of Enrolment or Verification of Enrolmentfrom Workday.
  • Unofficial transcript: View and print your unofficial transcript in Workday. Click on the Academics app and select “View My Academic Record”. Here, under “Coursework” you will see a list of your academic sessions which will show your courses and grades for the period listed in a table format.

If you need your forms to be enclosed with your transcript, please email transcripts.students@ubc.ca.

Before you order

Review important information about your transcript before placing an order:

  • Log into Workday and check that your grades are available in your “Academic History”. Learn how to view your grades.
  • You will need a Campus-wide Login (CWL) account to access Workday. If you cannot remember your login details or do not have an active Campus-wide Login account, follow the instructions online.
  • In addition to ensuring that your grades in your Workday account are up-to-date, also check your contact details and address under Personal Info.
  • All transcript orders are non-refundable and cancellations are not permitted.
  • UBC is not responsible for delayed or lost mail.
  • Your degree will be conferred after the Senate meets, and it will appear on the official transcript within two business days after the November meeting of the Okanagan Senate.
  • The student or alumnus must order the transcript themselves.
  • If you are a student ordering for an application or other submission, make sure you are ordering the required or accepted format, as we offer both PDF or paper copy.
  • We cannot accept credit card payment information over email due to credit card security policies.
  • Students on financial hold are not permitted to order transcripts. Please contact Enrolment Services – Student Records and Financial Services about paying late overdue fees.
  • Forms that need to be enclosed with the transcript must be submitted with the transcript order. Please email the forms along with your name and student number to transcripts.students@ubc.ca.
  • If you are ordering transcripts for an application, provide your reference or application number in the address field on your transcript order in the UBC Official Documents Tool. For example, write “Institution Name, Reference/Application #1234”. Students are responsible for reviewing the application details and transcript requirements of the respective institution or organization website.
  • UBC is a World Education Services (WES) institution partner and uses a closed, secure channel to directly transmit documents to WES. If you are ordering transcripts for WES, write “World Education Services Ref#” and your WES reference number for the Institution/Name field. The official email for WES is submit@wes.org. Once you’ve placed the order, please email transcripts.students@ubc.ca with your order ID and reference number, and your transcript will be uploaded to the WES student portal. Read the WES document requirements for more information.

If you’ve graduated from UBC and don’t have access to Workday

If you don’t have access to Workday, you can directly log in to the UBC Official Documents Tool to order your transcript. Follow the step-by-step instructions on how to order your transcript, starting with Step 2: Order Official Transcript.

Please note that it may take up to 30 minutes for your transcript to be generated.

Ordering a PDF transcript

PDF transcripts cost $11.98 CAD including tax and are provided through email. The processing time is 3 to 5 business days. PDF Transcripts will be sent from no-reply@bpms.svc.ubc.ca.

Ordering a paper transcript

Same day pick up in person

Cost: $16.48 CAD, including tax.

You can pick up your paper transcript at Enrolment Services – Student Records and Financial Services. To place an order, visit Enrolment Services – Student Records and Financial Services in UNC 214 and pay by debit card, VISA, or MasterCard.

You will be required to provide the following for pick-up:

  • Photo ID matching the name on the transcript
  • Proof of name change, where applicable

If someone is picking up your transcripts on your behalf

The person you authorized for document pick-up must provide the SRFS staff in the Enrolment Services – Student Records & Financial Services front office, UNC 214, with the following:

  • Third Party Authorization code you created
  • Your student number
  • Government-issued ID that confirms the identity of the person picking up the documents

Delivered by mail

Cost: $11.98 CAD, including tax.

You can request your paper transcript to be delivered by Canada Post regular mail by placing an order in Workday. Learn how to order a paper transcript delivered by mail in Workday.

The processing time is 4 – 7 business days. Please allow extra time for delivery.

Delivered by courier

Cost: $11.98 CAD, including tax + courier charges.

You can request a paper transcript to be delivered by courier via FedEx. Couriers cannot deliver to PO boxes. Learn how to order a paper transcript delivered by courier in Workday.

Ordering transcripts before classes start

Courses for the current session will not display on your transcript until the first day of classes. Make sure you order your transcript on or after the first day of classes if you want the current session’s courses to display.

For example, if you have registered for Winter Term 1 or Term 2 but classes haven’t started yet, your transcript won’t display any course information for that session. You’ll have to wait until Winter Term 1 classes start for the courses to appear on your transcript.
