Changing the name on your parchment (diploma)

The name on your official student record will be the name printed on your parchment. However, there are some acceptable name change requests you can make for your parchment.

Please note that a parchment in Workday was previously called a diploma.

Acceptable name changes include:

  • A legal name change
  • An unused first name may be abbreviated to initials: e.g., J. Mary Smith.
  • Middle names may be abbreviated to initials or omitted from the parchment.
  • Adopted name or nicknames may be added to a parchment within brackets: e.g. Mei Mei (Jane) Wong, Jane (Brown) Smith, Matthew (Mat) Smith.

If you are attending UBC under a married name, your birth name can be printed on your parchment upon presentation of appropriate ID. Your birth name can be added to your records for future reference if necessary.

When to make a name change request

Please submit any name change requests prior to March 27, 2026 to ensure your name appears correctly on your parchment for spring graduation in May 2026. Requests after your degree has been conferred will require a replacement parchment to be ordered.

How to submit a name change request

1. Submit government-issued photo ID to Enrolment Services Advising to verify your name change request. 

  • In-person: Visit the Enrolment Services Advising desk located in the UNC second-floor foyer with copies of your ID and your UBCcard (student ID).
  • Email: Email Enrolment Services Advising to request a name change. They will follow up with a secure link for you to upload your legal documents online. Please do not email copies of your documents directly to Enrolment Services.

Examples of government-issued ID include:

  • Valid driver’s license
  • Passport
  • Birth certificate
  • Government issued marriage certificate

2.  If you have already submitted your Graduation Application, email gradapps.okanagan@ubc.ca with your name and student number to have your Graduation Application and parchment updated.
