Receiving your original diploma

Normally, you will receive your original diploma at your in-person graduation ceremony. Diplomas are not printed until just before the May and November conferral periods. If you do not attend an in-person graduation ceremony, you can request to pick up your diploma in person or have it sent to you by courier.

UBC has switched to a new student system called Workday for the 2024/25 academic year starting September.

You cannot currently order a transcript or diploma through Workday. Please follow the instructions on this page to request it through the Student Service Centre (SSC).

Replacement diplomas and certified copies

You may need to use a copy of your diploma rather than a replacement or the original diploma itself. A certified copy is a photocopy of the original or replacement diploma. The copy is stamped to certify that it is a true copy of the original document.

Your original diploma is required to produce a certified copy. If the original is not provided, you will also be charged for a replacement diploma.

To order a replacement diploma or certified copy:

  1. Log into the Student Service Centre (SSC) and select Grades & Records > Order Replacement/Certified Copy
  2. Submit the request and pay with VISA or MasterCard.

If you don’t have a CWL account, enter your student number and use your birth date (yy-mm-dd) as password.

If you don’t remember your student number, CWL login, or password, contact Student Services.

Pickup and delivery

If you have requested to pick up your diploma or certified copy in person, UBC will contact you when it is available for pick up from Enrolment Services (UNC 214).

When picking up in person, remember:

  • Bring photo ID with a name matching the name on the diploma for pickup.
  • If you’ve requested a name change, please provide proof of the change.
  • If someone is picking up a diploma on your behalf, you must first complete the Third Party Authorization for document pickup form found on SSC under Personal Information for summer 2024, or in Workday under your profile -> Personal -> Additional data for Winter 2024/25 and beyond. You will provide a password to the third party that will need to be verified upon pickup. The third party is also required to provide ID. Be aware that documents such as replacement diplomas must be ordered prior to pickup. They cannot be ordered in person by a third party.

delivery by Courier

If you have requested to have your diplomas or certified copies delivered by courier, they will be mailed out via Fedex once they are processed. Refer to the table below for details on fees and processing/printing time.

Important information

  • The student or alumnus must order the replacement diploma, or certified copy, themselves, even if a third party is authorized to pick it up.
  • We can’t accept payment for diploma orders via email or fax due to credit card security policies.
  • If you’re on financial hold you won’t be able to order a replacement diploma, or certified copy. Contact Student Services about paying overdue fees.
  • Orders won’t be printed until payment is received in full.
  • Couriers cannot deliver to PO boxes.
