About transcript orders
If you are a UBC Vancouver student, please read information specific to your campus.
If you are a current UBC student or alumnus, you can order an official transcript or download an unofficial transcript, which includes your complete academic record at UBC.
Transcripts are confidential and can only be released by request from a student or alumnus.
To order an official transcript or download an unofficial transcript, access the UBC Official Documents Management tool (ODMT) from within don’t have a Workday account, log into the tly. If you are logging into the UBC Official Documents Management tool for the first time, you may have to wait 30 minutes for your information to sync before you can proceed with the order.
You can order or download a transcript in one of the following formats:
- Paper copy of your official transcript available through:
- Mail
- Courier delivery
- In-person pick-up on campus
Before you order
Review important information about your transcript before placing an order:
- Log into Workday and check that your grades are available in your “Academic History”. Learn how to view your grades. You will need a Campus-wide Login (CWL) account to access Workday. If you cannot remember your login details or do not have an active Campus-wide Login account,
- In addition to ensuring that your grades in your Workday account are up-to-date, confirm your contact details and address.
- Note: If changes are required to your contact details and/or address, it takes at least 24 hours for official transcripts to be updated with these changes.
- Download your Confirmation of Enrolment Letter (also known as a Proof of Enrolment or Verification of Enrolment) in Workday if you need to.
Important information about transcript orders
- All transcript orders are non-refundable and cancellations are not permitted.
- UBC is not responsible for delayed or lost mail.
- Once your degree conferral is approved and your Program Completion Status in Workday is “Program Completed”, it will appear on the official transcript within two business days. Learn how to view your Program Completion Status:
- The student or alumnus must order the transcript themselves.
- If you are ordering for an application or other submission, make sure you are ordering the required or accepted format, as we offer both PDF and paper copies.
- Credit card payment information cannot be accepted over email due to credit card security policies.
- Students on financial hold are not permitted to order transcripts. Please contact Enrolment Services – Student Records and Financial Services about paying late overdue fees.
- Undergraduate students can view their grades one day after the final exam period concludes.
Submitting additional forms
Forms that need to be enclosed with the transcript must be submitted with the transcript order. Right after you place your Workday order, email the additional forms, such as completion letters, along with your name, order number, and student number to transcripts.students@ubc.ca.
Reference and application numbers
If you are ordering transcripts for an application, provide your reference or application number in the address field on your are responsible for reviewing the application details and transcript requirements of the respective institution or organization website.
World Education Services (WES)
UBC is a World Education Services (WES) institution partner and uses a closed, secure channel to directly transmit documents to WES.
If you are ordering transcripts for WES, write “World Education Services Ref#” and your WES reference number for the Institution/Name field. The official email for WES is submit@wes.org.
Once you’ve placed the order, please email transcripts.students@ubc.ca with your order ID and reference number, and your transcript will be uploaded to the WES student portal. Read the WES document requirements for more information.
If you order transcripts before classes start
Your transcript does not show your courses for the current academic session until the first day of classes. You must order your transcript on or after the first day of classes for your transcript to display the courses in your current academic session.
For example, if you have registered for Winter Term 1 or Term 2 but classes haven’t started yet, your transcript won’t display any course information for that session. You’ll have to wait until Winter Term 1 classes start for the courses to appear on your transcript.
