Exam accommodations

Students are required to request their exam accommodations seven (7) days in advance of the date of a quiz or test during the term and 7 days prior to the start of the formal examination period. When a student requests exam accommodations it is the instructor’s responsibility to provide the exam information to the DRC two (2) business days prior to the date of the quiz/test/exam. For in person exams this includes a copy of the test.

** For online exams the DRC still requires the exam information but does not require a copy of the test. In the online environment it is the instructor’s responsibility to make sure that the accommodations are set up properly in Canvas (E.g. time extensions). For students who use assistive technology for their exams they will be using the technology they have set up on their personal computer.

Exam accommodations

Computer Word Pad – no grammar, no spellcheck

The student will use a computer to keyboard the answers to their tests. The program they use has no grammar or spellchecking capabilities.

Computer with voice recognition

The student will use a computer to answer the questions on their tests. Using software they will dictate the answers and the computer will record these in type written format.

Computer with spellchecking

Equation, formula sheet, with prior consultation of the instructor

The student will be allowed to use a formula/cheat sheet that has been approved by the instructor prior to the exam.

Instructor Responsibility

  • Review the formula/cheat sheet to ensure that the information is such that it is a memory aid but does not provide specific answers to the anticipated questions. Sign the sheet and provide it along with your exam information to the DRC.

One exam per day

The student will have only one test/exam in a 24 hour period. This includes midterms. If more than one is scheduled, one of the tests will need to be moved.

One day between each exam

The student will have 48 hour between exams.

Close proximity to a washroom

The student will need to be near a washroom when they write their exams. They may need frequent breaks.

Reader (hired by our office)

The student will have a person to read their exam questions out loud to them.

Rescheduled exam date for medical reasons (consultation required)

The student may require to move an exam due to medical reasons. The student is asked to give as much notice as possible but often this request arrives the day before or the day of the test. They must consult with their advisor when moving a test.

  • The DRC will notify you if a student is unwell and unable to write the test. For final exams a concession may be recommended by the DRC (OOT or SD). A new date for the student to write will be scheduled.

Interpreter for exams

The student will require an ASL interpreter to attend their exam.

Scribe for exam/computer-written or hand-written

Another person will either type or hand write the student’s responses to test questions verbatim.

Distraction reduced environment

The student writes the exam in an environment with minimal distractions (usually the exam centre).

Two sittings during formal exam period

The student will have their exam divided into two separate sittings for formal exams. One half of the exam is given at each sitting.

  • Instructor is asked to divide the exam into two equal parts. Equal in the sense that the amount of time anticipated to be needed to complete the questions is divided equally between the two sittings.

Break unscheduled during the exam

The student may require frequent, unscheduled breaks during the exam for medical reasons.

Calculator

The student will be allowed to use a simple calculator for any exam that requires calculations.

Podium for exam

The student may need to change positions during an exam from sitting to standing. They either write at the exam centre standing desk or are provided a podium in a regular classroom for standing and writing.

Private Space

The student will write their test in a room with no other students present. There is an invigilator observing the student.

Scantron sheet to be filled out by DRC staff

The student will circle their answers to multiple choice questions on the paper. The DRC staff will transfer those responses to the Scantron sheet. The student checks that the selected answers are correct.

No linear exams presenting one problem at a time with no option to revisit the question and/or change answers.

The student will need an alternate format for this type of exam that does not restrict their ability to move around in the exam.

The student is unable to write exams using this type of software.

Extended time (E.g. 1.25x, 1.50x, 2.0x)

The student is provided extended time to write their quizzes/tests/exams and the calculation of the extra time is based on the numeric value assigned in the accommodation.
