Downloading your Program Completion Letter – Undergraduate and Master of Management Students

This tutorial applies to undergraduate students and Master of Management students only. If you are a graduate student within the College of Graduate Studies, view these instructions.

About Program Completion Letters

Program Completion Letters are available to students in any credential granting program who:

  1. Have graduated from a credential granting program or;
  2. Applied for graduation, and have one of the following Program Completion Statuses:
    • Evaluation Deferred
    • Approved for Completion
    • Program Completed

Things to be aware of

  1. If you have an active hold on your student record, you may not be able to request a letter.
  2. If you have more than one credential granting program at UBC, you must print one letter per academic record.
  3. Your Program Completion Status indicates the type of Program Completion Letter that is available to you. Learn how to view your Program Completion Status as an undergraduate or Master of Management student.
Program Completion Status Program Completion Letter Available
Approved for Completion “Approved for completion but not yet conferred” letter – this is a Registrar-signed letter and is only available once your Program Completion Status has been moved to “Approved for Completion”
Program Completed “Program Completed (conferred)” letter – this is a Registrar-signed letter and is only available once your degree has been conferred

How to download a Program Completion Letter

First, go to your Academics app

  1. Current UBC students, log into your Workday account at myworkday.ubc.ca. If you are a UBC alumnus, log into the on the UBC Official Documents tool (ODMT) and skip to Request your Program Completion Letter’.
  2. Click the “Academics” tab in the “Your Top Apps” menu.

Next, go to the UBC Official Documents Management tool (ODMT)

On the right side of the page, in the “Transcripts and Enrolment/Completion Letters” menu, click the “UBC Official Documents” link.

Request your Program Completion Letter

  1. In the UBC Official Documents Management tool (ODMT), click on “Program Completion Letter” under “Order Options”.
  2. Select the program you want to request a Program Completion Letter for in the “Program” dropdown menu.
  3. Optional: Select the UBC Student Number and/or Date of Birth box(es) if you wish to include this information in the letter.
  4. Click the “Request Letter (PDF) button.

5. Then, click the “Generate Letter (PDF)” button.

6. Finally, click on the PDF icon to download the letter.
