Navigating Workday

This tutorial applies to both undergraduate and graduate students on the Okanagan campus.

UBC students use Workday and the UBC Official Documents tool (ODMT) to complete essential tasks like:

  • Viewing the course schedule
  • Registering for courses
  • Accessing your final grades
  • Updating your personal information
  • Paying your tuition
  • Downloading important documents such as transcripts

Workday is a tool for current UBC students. If you’re an undergraduate applicant who has not yet been admitted to UBC, please log into the Applicant Service Centre to access your application status and information.

Former students and alumni

How to log into Workday

Log into Workday at myworkday.ubc.ca with your Campus-wide Login (CWL).

  • If you have forgotten your login information, you can go to your CWL myAccount portal to manage your Campus-Wide Login. Learn more.
  • If you are a new undergraduate student and have accepted your offer, but have not created a Student CWL, follow the instructions under “Student Accounts (CWL Account Upgrader)”.
  • If you are a graduate student, you will login to Workday using the same Student CWL that you used to apply to your UBC graduate program.

Your Workday homepage

After logging into Workday, you will be brought to the homepage.

Sidebar navigation menu

The sidebar navigation menu located on the left of the homepage contains links to important apps and functionalities within Workday.

Student

Select the “Student” menu category to find the two Workday apps that are related to your education:

  • Academics: Where you can view the course schedule, create a saved schedule, register for courses, and more.
  • Finances: Where you can view your tuition and fees, download your account statement, access TouchNet to make a payment, setup your direct deposit, and more.

Personal

Select the “Personal” menu category, then select “Personal Information” to view and edit your home contact information, personal information, preferred name, and more.

If you are a student who is also employed by UBC, you may see additional apps that are related to your employment.

Your profile

Within your profile you can view and edit select information. To access your profile:

  1. On the Workday homepage, click your user icon in the top right corner.
  2. Click the “View Profile” button in the pop-up menu.
  3. Within your profile you can navigate to different tabs using the left menu, this includes:

Tasks and Notifications

Select the “My Tasks” inbox icon in the top right or an item in the “Awaiting Your Action” section to view your tasks. Examples of tasks include completing registration for a waitlisted course and Workday onboarding.

Select the “Notifications” icon in the top right to view your notifications which may include updates to program change requests, waitlist status, and changes to your residency status.

Downloading UBC documents

Current and former UBC students can use the UBC Official Documents tool (ODMT) to download and order documents this includes:

  • Official and unofficial transcripts
  • Parchments (diplomas)
  • Program Completion Letters
  • Tax forms (T2202 and T4A)
  • Confirmation of Enrolment letters (current students only)

Current students can also log into ODMT through Workday in the Academics app.
