How to book an exam

The DRC Exam Booking Form is an electronic form which is initiated by you, the student.  Please click here to access the form.

  1. Complete your portion of the exam booking form at least 10 days prior to the date of the exam to allow for processing time.  The DRC needs at least 7 days’ notice to schedule your exams (or 7 days before the start of the exam period for final exams).

  2. Log in using your Novell credentials.  By default, your user name is your student number and your password is your birthdate in MMDDYY format.

  3. Choose the correct exam from the drop-down menu. If the exam does not appear in the list, contact your professor directly and ask him/her to add the information to our database (there is a separate faculty form for this - any questions about the process should be directed to drc.exams@ubc.ca).

  4. Please ensure you have filled in all the blanks and selected the approved accommodations you will require for this exam.  This critical information helps us book rooms, equipment, and invigilators more effectively.

  5. You will receive two notification emails during the processing of the form. If you do not receive the second notification that means you are not confirmed in the DRC exam schedule.  It is your responsibility to follow up if you do not receive the second notification.  If you show up on the day of your exam and we do not have a booking form for you, you will be asked to write the exam with your class without accommodations.

  6. On the day of your exam, arrive at the DRC 20 minutes prior to the start time of your exam to meet your invigilator and then travel to the exam room which can be anywhere on campus.

Important information for students writing accommodated exams at the DRC

  1. Please arrive at the DRC office a minimum of 20 minutes prior to the start time of your exam (30 minutes for final exams).  You must be prepared to produce your UBC student card for identification.

  2. Non-disruptive and odorless food/refreshments in clear containers are permitted with the following exceptions: NO citrus fruits (e.g., oranges, grapefruits, tangerines) and NO peanuts or tree nuts.

  3. No scented colognes, perfumes or soaps may be worn while writing your exams at the DRC.  The DRC is a scent-free zone.

  4. You are only permitted to use material(s) authorized by your instructor as indicated on the exam form (e.g., notes, books, calculators, and formula sheets will not be allowed without explicit written authorization from the professor).

  5. Students who are not eligible for private exam space will sit in an exam room with other students.  An invigilator will be present in the room at all times.

  6. Student conduct during examinations applies to DRC accommodated exams as well.  Cheating is not tolerated and will be subject to the disciplinary processes outlined by UBC's Student Conduct and Discipline Policy.

  7. No examination candidate shall be permitted to enter the examination room after the expiration of one half-hour from the scheduled starting time, or to leave during the first half-hour of the examination. Students will need to apply to the Dean of their Faculty to have permission to write after this time has elapsed.
